POLICIES

1) Entry, Registration & Payment Policy

1.1 Entry confirmation

  • An entry is confirmed only once payment reflects and you receive official confirmation.

  • You are responsible for ensuring your details (name, ID/passport, DOB, contact number, email) are correct.

1.2 Eligibility

  • JORUNNERSBURG14 is open to all runners who meet the ASA minimum age for their distance on race day: 14K — 15 years; 7K — 14 years. Proof of age may be requested.

1.3 Accurate information

  • False details (identity, age, club/affiliation) may result in disqualification, removal and refusal of service without refund.

1.4 Payment methods and fees

  • Standard entries close 25 November 2026. Late entries (26 November – 13 December 2026) carry a 10% surcharge. Entries close 13 December 2026.

  • Platform/merchant fees are for the participant's account unless stated otherwise.

1.5 Unauthorised entries / resale

  • Entries may not be resold, auctioned or transferred outside the official process.

  • The Organiser may cancel suspicious or fraudulent entries.

2) Refund, Deferral & Transfer Policy

2.1 Refunds — Entry fees are strictly non-refundable, except where South African law requires otherwise. Entrants are informed of this before payment and accept it on entry.

2.2 Refund requests — Because entries are non-refundable, refund requests will not be considered. Queries to the race office must be in writing with full name and entry reference.

2.3 Medical withdrawals — No refund. The Organiser may, at its sole discretion and on receipt of medical documentation, offer a credit toward another Distance Run Club event. This is not guaranteed.

2.4 Deferrals — JORUNNERSBURG14 is a once-off commemorative race. Entries cannot be deferred — there is no future edition. Entries cannot be moved to any other Distance Run Club event.

2.5 Substitutions (giving your entry away) — Permitted. The entry must be officially changed to the new runner's name via the entry platform before 13 December 2026. [CONFIRM: substitution fee, if any] The new runner accepts the waiver and must meet the minimum age and licence requirements. Unofficial swaps or "buddy running" under the original name is cheating — the runner is uninsured, untraceable in a medical emergency and skews results. Both parties will be disqualified and banned from future Distance Run Club events. No substitutions after 13 December or at race-number collection.

2.6 Distance changes — Available at race-number collection only (14 & 15 December). Downgrades (14K → 7K) are free with no refund of the difference. Upgrades (7K → 14K) require payment of the entry-fee difference (R95) plus a temporary licence (R60) if the runner is unlicensed. No changes on race day.

2.7 No-shows & missed cut-offs — No refunds or credits for no-shows, late arrival, missed start or failure to finish within cut-off.

2.8 Event changes or cancellation — If the event is postponed, rerouted, shortened or cancelled due to circumstances beyond the Organiser's control (extreme weather, safety threats, municipal restrictions, force majeure), refunds are not guaranteed. Alternatives (credit, race-pack collection) may be offered.

3) Open Participation & Respect Policy

3.1 JORUNNERSBURG14 is a race for the whole city — every club, crew, community, age and ability that meets entry requirements.

3.2 Verification — The Organiser may verify identity and eligibility at any stage (entry, registration, start, finish, prize-giving).

3.3 Respectful conduct — Harassment, intimidation, discriminatory behaviour or conduct that undermines the spirit of the event results in immediate removal and potential banning from future Distance Run Club events.

4) Race Rules, Timing & Results Policy

4.1 Governing rules — Sanctioned by CGA; run under CGA/ASA road running rules plus these event rules.

4.2 Bib and timing — Official bib worn on the front of the torso, visible at all times. Timing devices are non-transferable.

4.3 Start — No seeded batches. Line up according to expected pace as directed by marshals. [CONFIRM if seeding is used for a 3,000–6,000 field]

4.4 Cut-off times — 14K: 2h30 (09:00) · 7K: 1h30 (08:15). This is not a full road-closure event; JMPD controls key intersections only. After cut-off, JMPD traffic control stands down and participants still on course must move to the pavement, obey normal traffic rules and follow marshal instructions. No official time or medal is guaranteed after cut-off.

4.5 Results — Results are sent by SMS to the mobile number on your entry and published on the official website. Results queries must be submitted within 7 days of the race.

4.6 Disqualification — Running under another person's name or bib (cheating), unsportsmanlike conduct, unauthorised assistance, shortcuts, starting before the official start, altering bibs or timing devices.

5) Prize Money, Awards & Eligibility Policy

  • Prize money is paid only to eligible 14K winners as defined in the Prize Money page.

  • Winners may be required to present ID, proof of age, licence and banking details.

  • Payments are processed after verification and the dispute window closes.

6) Safety, Medical & Risk Policy

  • Participate at your own risk. Running is physically demanding and may be hazardous.

  • Medical fitness — Consult a healthcare professional if in doubt.

  • On-course medical support is provided, but response times vary. Take responsibility for hydration, pacing and heat management.

  • Heat — 16 December is mid-summer. Start times are early for this reason. Pre-hydrate, use every water point, slow down if you feel unwell.

  • Emergency removal — Medical staff and officials may stop or remove a participant for safety.

  • Mandatory instructions — Obey officials, marshals, JMPD, medical staff and signage.

7) Code of Conduct & Sportsmanship

Participants must treat fellow runners, volunteers, staff and residents with respect; keep to the side instructed; not litter; not use abusive language; not interfere with other runners or operations. Consequences: warning, time penalty, disqualification, removal, or banning from future events.

8) Athlete Support, Pacing & Assistance

  • No prams, pushchairs or dogs on the course, on either distance. Supporters with prams or dogs must remain in spectator zones.

  • Supporters welcome in designated spectator zones only.

  • No person may run alongside a participant unless officially entered in the same distance or authorised staff.

  • Unofficial pacing (cyclists, vehicles, non-registered runners) is prohibited.

  • Assistance is limited to official water points.

9) Hydration & Aid Stations

  • Water and Coke served at every station, in recyclable sachets, at the locations published on the Race Info page.

  • Do not litter. Sachets go in the bins at the station, not on the road. Littering on route is a disciplinary offence and may result in disqualification.

  • Participants with special dietary needs should carry their own nutrition.

10) Weather & Environmental Conditions

  • The event proceeds in hot, windy or rainy conditions.

  • In extreme conditions (heat, lightning, storms) the Organiser may delay, modify, shorten, reroute, pause or cancel the event. Decisions are final.

11) Tog Bag Check-In Policy

  • Tog bag check-in is available at the start/finish venue on race day. Bags must be tagged with the runner's race number and are released only against the matching bib.

  • Check-in closes 15 minutes before each start; collection closes at event close (10:00).

  • Do not place valuables, cash, phones, medication or fragile items in a checked bag. Bags are checked at the runner's own risk; the Organiser is not responsible for loss or damage.

  • Bags not collected by event close are held under the Lost Property policy.

12) Photography, Video & Media Consent

  • By entering, you grant the Organiser, the City of Johannesburg and partners permission to use your image, voice and likeness captured at the event for marketing, editorial and promotional purposes, without compensation.

  • Safety-related non-disclosure requests via the official contact channel; accommodated where reasonably possible, not guaranteed.

13) Personal Data & Privacy (POPIA-aligned)

  • Collected: name, contact details, DOB, ID/passport, emergency contact, medical notes (optional), club info, transaction details.

  • Purpose: process entries, manage safety, produce results, communicate race info, meet sanctioning requirements.

  • Sharing: essential service providers (timing, medical, operations) and athletics authorities as required.

  • Retention: only as long as necessary for operations, compliance and administration.

  • Your rights: request access, correction or deletion, subject to legal limits.

14) Race Pack Collection & ID Verification

  • Collect during published times and locations only. No race-day collection.

  • Present acceptable ID to collect your bib.

  • Third-party collection only with written authorisation and copies of required documents.

15) Merchandise & Product Sales

  • Sizes and stock are limited. Exchanges only if stock is available within the stated window.

  • Faulty items handled under South African consumer protection principles.

16) Accessibility

  • Participants requiring reasonable accommodation (mobility support, special start arrangements) should contact the Organiser by [date] so arrangements can be assessed.

17) Partner Activations, Giveaways & Promotions

  • Competitions and promotions run by the event or partners may have separate terms. Prizes are non-transferable unless stated.

18) Complaints, Disputes & Appeals

  • Complaints via the official contact email within 7 days of the event.

  • Results appeals must include evidence (bib number, time, photo/video).

  • The Organiser's decision is final, subject to athletics body processes.

19) Lost Property

  • Held for 14 days after the event, then donated or disposed of.

  • The Organiser is not responsible for lost or stolen items.

20) Changes to Policies

  • The Organiser may update these policies for safety, legal, operational or sanctioning reasons. The latest version on the website applies.
